A premium boardroom needs more than good gear. It needs a system that works the way the room is used — every time, by anyone, without a manual. When St. Margaret's Anglican Girls School came to us for an AV upgrade in the Mooloomburram Boardroom, that was the brief: make it seamless.
The Brief
The school needed a comprehensive AV upgrade that could handle everything from Teams calls to BYOD presentations — and do it without technical staff in the room.
- Native Microsoft Teams Room functionality
- BYOD capability across multiple platforms
- Exceptional audio and visual quality for in-room and remote participants
- Aesthetics that match the standard of this premium space
- Consistency with adjacent boardroom technology standards
- Simple, intuitive daily operation
Design Philosophy
This project is a clear example of how we approach premium boardroom integration: technology should enhance the space, not dominate it. Every decision was guided by three principles.
Technical Solution
Audio Excellence
Audio quality can make or break a unified communications experience. The implementation was designed to be heard clearly without being seen.
Unified Communications Platform
The Poly Microsoft Teams Room solution, procured through the school's HP channel, provides one-touch meeting join, guest access for external participants, and native Microsoft 365 integration — consistent with the adjacent boardroom installations already in place.
A Poly touch panel on the table handles both MTR operations and room settings. One panel. No switching between interfaces.
BYOD Integration
Not every meeting runs on Teams. The integrated BYOD solution supports Zoom, Google Meet, and other platforms — hardware mounted discreetly beneath the boardroom table so the clean lines of the space are maintained. All components verified and signed off by Extron for compatibility.
Equipment Accommodation
Keeping the room visually clean while ensuring full serviceability required a deliberate dual approach:
Collaboration and Coordination
Projects like this don't succeed without tight coordination. The school's electrical team handled all power and data cabling — their knowledge of the building infrastructure was invaluable. The Big Picture Group coordinated termination and rack requirements.
Early communication about table design changes was critical. The integrated BYOD mounting solution required precise coordination to get right — and we got ahead of it early.
Control and Commissioning
Full control programming was developed to support one-touch Teams meeting initiation, automatic BYOD switching, integrated room audio control, and seamless display and soundbar operation. The result is a system that both technical and non-technical users can operate with confidence — and that scales across campus without retraining.
Project Outcomes
The Mooloomburram Boardroom now delivers:
- Professional-grade video conferencing with exceptional audio clarity
- Flexible presentation capability supporting any device or platform
- Aesthetic integration that honours the premium nature of the space
- Reliable daily operation requiring minimal technical expertise
- Future-proof architecture ready for emerging collaboration tools
Technical excellence and aesthetic quality are not opposites. When you plan equipment placement properly, design the right accommodation strategy, and take the time to coordinate with every trade on site — you get a room that performs and looks the part.
Standardisation compounds value over time. Consistent technology choices across spaces reduce training load, support complexity, and long-term cost. This project builds on the pattern already in place at St. Margaret's — and makes the next project easier.
The goal is always a system the room's users don't have to think about. This one delivers that.

When schools compare AV quotes, it is easy to focus on price, equipment, and scope. But similar-looking proposals can create very different support load, usability, and long-term headaches once the room is live. Here’s what to look for before you sign off.
