The school needed a comprehensive AV upgrade that could handle everything from Teams calls to BYOD presentations — and do it without technical staff in the room.

Complexity hidden, simplicity presented. If you have to explain how to start a meeting, the room isn't designed well enough.
Mooloomburram Boardroom — 98-inch ViewSonic display with centred camera positioning
The centrepiece is a 98-inch ViewSonic commercial panel, carefully positioned relative to the room architecture. Importantly, the camera is centred to the seating layout rather than the display — a deliberate choice that optimises participant framing during video conferences.

Technical Solution

Audio Excellence

Audio quality can make or break a unified communications experience. The implementation was designed to be heard clearly without being seen.

Microphones
Two Sennheiser round medium ceiling microphones, positioned for comprehensive voice pickup around the boardroom table at approximately 3m AFF — balancing acoustic performance with visual discretion
DSP
Extron DSP for independent audio processing — clean signal routing, superior quality, and simplified troubleshooting
Speakers
JBL Soundbar mounted directly beneath the display for clear front-of-room reinforcement in both conferencing and presentation modes

Unified Communications Platform

The Poly Microsoft Teams Room solution, procured through the school's HP channel, provides one-touch meeting join, guest access for external participants, and native Microsoft 365 integration — consistent with the adjacent boardroom installations already in place.

A Poly touch panel on the table handles both MTR operations and room settings. One panel. No switching between interfaces.

BYOD Integration

Not every meeting runs on Teams. The integrated BYOD solution supports Zoom, Google Meet, and other platforms — hardware mounted discreetly beneath the boardroom table so the clean lines of the space are maintained. All components verified and signed off by Extron for compatibility.

Equipment Accommodation

Keeping the room visually clean while ensuring full serviceability required a deliberate dual approach:

Primary Electronics
Housed in the existing downstairs network rack — out of sight, properly managed, easy to access for support.
Display-Adjacent Equipment
Mounted on a slide-out tray behind the 98" display, allowing maintenance access without affecting the front-of-room appearance.

Collaboration and Coordination

Projects like this don't succeed without tight coordination. The school's electrical team handled all power and data cabling — their knowledge of the building infrastructure was invaluable. The Big Picture Group coordinated termination and rack requirements.

Early communication about table design changes was critical. The integrated BYOD mounting solution required precise coordination to get right — and we got ahead of it early.

Control and Commissioning

Full control programming was developed to support one-touch Teams meeting initiation, automatic BYOD switching, integrated room audio control, and seamless display and soundbar operation. The result is a system that both technical and non-technical users can operate with confidence — and that scales across campus without retraining.
